We understand that unexpected changes can occur, which is why we have a clear and flexible Cancellation & Refund Policy. This section provides detailed information on how to reschedule or cancel sessions, request refunds, and understand the timelines for processing such requests.

Cancellation Policy

1. Cancellation Notice Requirement

  • Cancellations must be made at least 72 hours prior to the scheduled lesson or service.
  • Failure to provide a minimum of 72 hours’ notice will result in a full charge for the scheduled lesson.

2. Late Cancellations and No-Shows

  • If a client cancels with less than 72 hours’ notice, or fails to attend the lesson without prior notice, they will be charged in full for the session as scheduled.
  • No-shows will incur the same charges as if the lesson had been attended.

3. Rescheduling Lessons

  • Clients may reschedule lessons, provided that the cancellation notice requirement of 72 hours is met.
  • Rescheduled lessons are subject to availability. If a suitable time cannot be found, the full lesson fee will still apply.

4. Emergency Cancellations

  • In exceptional circumstances, such as emergencies or unavoidable situations, My Driving Trainer may consider waiving the cancellation fee. This will be assessed on a case-by-case basis and requires sufficient proof or documentation.

5. Late Arrival Policy

  • Clients who arrive late for their lesson will be charged the full fee for the lesson, and the lesson will conclude at the originally scheduled time. My Driving Trainer will not extend the lesson beyond the scheduled time.

6. Responsibility for Cancellation Fees

  • The client is responsible for ensuring they provide adequate notice of cancellation.
  • If the client does not comply with the cancellation notice requirement, the applicable cancellation fees will be charged to the client’s account.

Refund Policy

1. Refunds for Pre-Booked VORT Tests

  • My Driving Trainer does not offer refunds for pre-booked Vehicle On-Road Tests (VORT) arranged through the Department for Infrastructure and Transport (DIT) via an Authorized Examiner (AE) contractor.
  • DIT’s policy restricts us from offering refunds for cancellations or amendments. Cancellations or substitutions must be made at least two full business days in advance.
  • In the case of a partially used training package, a partial refund may be considered on a case-by-case basis. However, if the client terminates the agreement before completion, the refund will be calculated based on the full, non-discounted lesson rate.
  • Any planning or quotation fees up to $499 AUD will be deducted from the original payment.
  • Refunds may take 10-15 business days to process due to payment provider timelines.

2. Change of Mind and Online Payments

  • If you cancel after making an online payment, a processing fee will apply before calculating any refund. This processing fee will be the higher of $149 AUD or 5% of the transaction value.
  • These fees are non-refundable and are incurred by our payment processing partners. Our policy aligns with industry standards and reflects the non-recoverable fees associated with these transactions.

3. 1-Day VORT Course Conditions for Subsequent VORTs in Package

  • Clients enrolled in VORT packages that include a subsequent VORT attempt must adhere to the following conditions:
    • 14 days minimum for L permit holders.
    • 3 days minimum for clients with a Temporary Driving Permit (for overseas license conversions).
  • The availability of subsequent VORT attempts is subject to scheduling and availability.

4. VORT Courses and Completion Timeframes

  • While purchasing a package or paying online secures your enrolment, it does not guarantee completion within a specific timeframe.
  • After the first lesson, My Driving Trainer will assess the learner’s driving ability and discuss the feasibility of completing the course within the requested timeframe.
  • If it is determined that the requested timeframe is not achievable, My Driving Trainer will explore alternative options with the client or provide a refund as per the terms outlined in this policy.

5. General Refund Conditions

  • Refund requests must be made in writing to My Driving Trainer via email or phone.
  • All refund requests are subject to approval and are assessed on a case-by-case basis.
  • My Driving Trainer reserves the right to deny refund requests that do not meet the criteria specified in this policy.
